The 10-step checklist for a webinar people actually finish
A practical webinar checklist: topic, registration, rehearsal, moderators, engagement and follow-up.
Why most webinars lose people
People leave a webinar when it starts late, when it is a lecture without interaction, or when they cannot tell what is in it for them. Each of the ten steps below addresses one of those reasons.
1–3: Decide the outcome, the audience and the date
Write one sentence that finishes “After this webinar, you will be able to…”. Define who the webinar is for, and pick a date and time that suits them — for professionals this is often early evening, and for students a weekend morning. Avoid clashing with big festivals and exam dates.
4–5: Set up registration and reminders
Create the webinar with a clear title and a short description, and share the registration link in every place your audience already is. Registration gives each person a personal join link and tells you how many to expect. Send reminders a day before and an hour before.
6: Rehearse with your panelists
Use the practice session to test audio, slides and screen sharing with everyone who will be on stage. Agree who speaks when and who watches the chat.
7: Assign a moderator
Ask a co-host to watch Q&A and chat so the presenter can stay on topic. The moderator can group similar questions and pick the best ones for the end.
8: Build in interaction every ten minutes
Run a poll, ask for a quick chat response or invite a question. Short interaction beats a long lecture, and it keeps attention on the screen.
9: Finish on time and state the next step
End a few minutes early, summarise the key points and say clearly what to do next — read a guide, join a course, book a call. One call to action works better than five.
10: Follow up within 24 hours
Send thanks, the key takeaways and the next step. If you recorded the session to your computer, share the replay. Use the attendance report to see who stayed, and follow up with them first.
